After the fair, separate the information cards by grade in school and count the total. Complete the Out-of-State Recruitment Event Evaluation Form and return it to the Recruitment Team office along with the information cards. You will receive the evaluation form and a business reply envelope from our office, or from your AAC Committee Leader. Please call our office if you do not have a form or envelope: 800-706-9602.
The evaluation will ask general information about the fair, and specific information on the number of information cards received and the amount of literature distributed. Please try to be as accurate as possible. This information is an essential part of our records.
For each fair you attend, your leader (or our office, if you are an independent volunteer) will be sure you have an evaluation form and a return envelope. Please complete the evaluation of the fair and return any information cards you have accumulated in the postage paid envelope. Be sure that you leave the area as you found in, free of trash and in good condition.
When the envelope arrives in our office, your evaluation is given to the responsible counselor for review. If there are any issues that need to be addressed, it is done at this time. It is then entered into our database so that we can refer to it next year if necessary. The information cards are processed, with the student's data being entered into our database and the requests for information entered.
It's hard to give a single answer to this question. Much of it depends on the timing of the fair. Earlier in the fall season, requests are typically processed within a few weeks. As the fall rolls on, and our mail room and data input staff are inundated with applications and cards all at the same time. It typically will take much longer for students to receive their information. Our staff, however, does work diligently to process the many thousands of cards that come in throughout the fall.
If you are not going to use the materials during the next recruitment season, or will not be able to distribute them to local high schools, they can be sent back to us. Here are a few guidelines to follow:
